Fluenti is a boutique digital marketing agency managing eight figures in monthly retail media spend across Amazon, Walmart, and other platforms. As we grow our team and client base, we need someone to build the operational foundation that kepes everything running smoothly. This role is about creating structure and systems for a growing agency. You'll build SOPs, design workflows in ClickUp, develop reporting frameworks, and make sure nothing falls through the cracks as we scale. Amazon or retail media agency experience is important because you need to understand the work our account managers do in order to build the right processes around it. What You'll Do Build and document SOPs for core agency workflows: new client onboarding, campaign setup, reporting cadences, QA processes, and account management routines. Design, build, and maintain project management systems in ClickUp. Create templates, automations, and dashboards that give leadership visibility into account status and team workload. Develop the new client onboarding process end-to-end: intake checklists, access provisioning, kickoff meeting frameworks, first-30-days playbooks for account managers. Create and manage reporting templates and dashboards that pull performance data into clear, consistent formats for internal reviews and client presentations. Track deliverables, deadlines, and action items across accounts to ensure the team stays on schedule and nothing slips. Identify operational bottlenecks, inefficiencies, and gaps in current processes. Propose and implement improvements. Coordinate across account managers, leadership, and clients to keep projects moving and communication flowing. Maintain internal documentation and knowledge bases so processes are repeatable and not trapped in anyone's head. Who You Are 2-4 years of operations, project management, or agency operations experience with direct exposure to Amazon or retail media. You understand the Amazon agency world: Seller Central, Vendor Central, advertising campaigns, listing optimization, reporting cycles. You don't need to run campaigns, but you need to understand the workflows well enough to build SOPs around them. Strong ClickUp experience. You've built workspaces from scratch, created automations, designed dashboards, and set up templates that teams actually use. Comfortable with data and reporting. You can pull numbers from multiple sources, organize them clearly, and build templates that make recurring reporting efficient. Naturally organized and detail-oriented. You're the person who notices when a step is missing from a process or a deadline is about to slip. Proactive communicator. You flag issues early, follow up without being asked, and keep stakeholders informed. Strong written English. SOPs, process docs, and internal communications need to be clear and professional. Able to work within US business hours for overlap with the team (at least 4-5 hours of overlap with EST). Nice to Haves Experience building operations at an Amazon or ecommerce agency specifically. Familiarity with Google Sheets, Looker Studio, or other reporting and data visualization tools. Experience with Amazon advertising tools like Pacvue, Helium 10, or similar platforms. Background in creating training materials or documentation for account management teams. PMP, Agile, or other project management certifications.
