The Event Operations Specialist plays a key role in supporting the Growth & Demand Generation events team with the planning, logistics, and execution of trade shows, conferences, and webinars. This entry-level position is perfect for a recent college graduate who is highly organized, detail-oriented, and eager to learn the ins and outs of event operations. Responsibilities include managing warehouse inventory for trade show assets, preparing and shipping event materials, coordinating documentation, and providing administrative support to the events team. Responsibilities Event Logistics & Warehouse Management Develop and maintain standard operating procedures for organizing and managing event assets. Track inventory of booth components, signage, promotional materials, and equipment. Assemble reusable event kits and ensure timely packing, labeling, and shipping. Receive, inspect, and restock returned assets post-event. Verify booth materials are ready for the event. Identify and recommend process improvements. Shipping & Asset Coordination Coordinate inbound and outbound shipments with carriers and venues. Maintain accurate inventory records, tracking numbers, and vendor details. Assist in resolving shipping delays or damaged materials. Event Administrative Support Support event managers with scheduling, vendor communication, and documentation. Manage swag orders and track shipments for trade shows and conferences. Prepare onsite materials, including collateral, name badges, and checklists. Assist with budget tracking, purchase orders, and invoice reconciliation. General Support Provide onsite and webinar event assistance (light travel up to 5%). Collaborate with cross-functional teams (marketing, product, sales) on event-related tasks. Perform other duties and special projects as assigned. Adhere to ethical standards and comply with the laws and regulations applicable to your job function. Strong organizational and time-management skills. Ability to thrive in a fast-paced environment and manage multiple priorities. Comfortable with physical tasks (lifting to ~40 lbs as needed). Excellent communication skills and attention to detail. Problem-solving mindset and willingness to take initiative Education The role requires a Bachelor’s degree in Marketing, Communications, Business, Hospitality, or a related field. Experience Candidates should possess experience in events, or have had active participation in student organizations. Familiarity with shipping/warehouse operations and processes is also valued, as it demonstrates an understanding of logistical workflows necessary for successful event execution. Additionally, an interest in pursuing a long-term career in event management is encouraged, reflecting a commitment to professional growth within the industry. Candidates should be proficient in Microsoft Office applications, with experience using Monday.com considered a plus. The base salary range advertised represents the low and high end of the anticipated salary range for this position. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.
