Job Description
Responsibilities
- Assist with the preparation, formatting, editing, and coordination of proposals, Statements of Qualifications (SOQs), Requests for Proposals (RFPs), and Requests for Qualifications (RFQs)
- Collaborate with business development, operations, and technical teams to gather project information and develop proposal content
- Maintain and update proposal templates, project descriptions, employee resumes, and marketing collateral
- Coordinate proposal schedules, deadlines, and submission requirements to ensure timely delivery
- Proofread proposal documents for accuracy, consistency, grammar, and branding
- Assist with proposal graphics, layouts, and presentation materials
- Research clients, agencies, and upcoming opportunities to support business development efforts
- Coordinate HRV's participation in conferences, trade shows, career fairs, client events, and industry association meetings
- Assist with event planning, logistics, registrations, promotional materials, and booth displays
- Coordinate branded giveaways, signage, marketing materials, and event collateral
Requirements
- Currently pursuing or have completed a Bachelor's Degree in Marketing, Communications, Business, Graphic Design, Public Relations, or a related field
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple assignments, priorities, and deadlines
- Proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Ability to work on-site in our Moon Township office
Preferred
- Experience supporting proposals, RFPs, RFQs, SOQs, or business development activities
- Experience using Canva, Adobe Creative Suite, or similar graphic design software
- Experience creating content for LinkedIn and other social media platforms
- Basic knowledge of website content management systems (WordPress experience is a plus)
- Photography, videography, or video editing experience
- Experience using AI tools to support productivity and content creation
- Interest in engineering, construction, infrastructure, or professional services marketing
