SBK Marketing is a fast-growing media, marketing and sales agency specialising in the property and construction industry.

We work with contractors, developers, architects and design & build firms across the UK, helping them grow through content, paid advertising, lead generation and sales.

We’re now looking for a highly organised Personal Assistant to support both co-founders from our Chiswick HQ.

This is not a slow, traditional admin role.

You’ll be working closely with two busy founders, helping manage emails, calendars, calls, messages, travel, office management, personal admin, deadlines and everything in between.

READ THIS BEFORE APPLYING

This role is for someone who is highly organised, confident and comfortable holding real weight when it comes to managing other people’s time.

You need to be able to say:

“You have this meeting in 20 minutes.”

“You need to respond to this today.”

“I’ve blocked out time for you to deal with that.”

“You can’t take that meeting because you already have something more important booked.”

“I’ve already handled it.”

You cannot be afraid to remind, chase or push back on either founder.

A major part of this role is protecting our time, keeping us accountable to our calendars and making sure important things actually happen.

We don’t want someone who waits for a task list every morning.

We want someone who sees what needs doing and gets it handled.

WHO YOU’LL BE SUPPORTING

You’ll work directly with both co-founders, but their day-to-day responsibilities are very different.

KRISTEN

Kristen oversees the majority of the operational and strategic side of the business.

Her responsibilities include:

  • Managing client accounts
  • Overseeing all active clients
  • Delegating work across the team
  • Managing marketing strategy and delivery
  • Overseeing business development
  • Developing internal systems and CRM processes
  • Managing wider operational projects
  • Supporting financial oversight and business planning

Your support will mainly involve helping Kristen stay on top of client communication, internal team deadlines, meetings, follow-ups, business projects and the large number of moving parts across the company.

BRANDON

Brandon leads the commercial, people and in-person side of the business.

His responsibilities include:

  • Closing new business from qualified prospects booked by Kashai and the wider sales team
  • Managing sales meetings and follow-ups
  • Managing the videography team
  • Overseeing videographers on shoot days
  • Managing in-person client relationships
  • Supporting client communication on site
  • Handling much of the company’s HR and people management
  • Managing staff-related issues and internal conversations

Your support will mainly involve keeping sales meetings, follow-ups, shoot days, staff matters, calls and in-person commitments properly organised and moving.

Because their responsibilities are different, you need to be comfortable understanding what is important to each founder and prioritising accordingly.

THE ROLE

Your main responsibility is simple:

Keep both founders organised, accountable and in control of their time.

You’ll have visibility over our calendars, inboxes, messages, calls and day-to-day schedules and will become the person who helps keep everything moving properly.

Some days will be heavily focused on emails and meetings.

Other days might involve booking travel, dealing with a parking ticket, responding to someone on our behalf, ordering something for the office, filming behind-the-scenes content or chasing a member of staff for something that is overdue.

It is a genuinely varied role.

WHAT YOU’LL DO

EMAIL & INBOX MANAGEMENT

  • Manage and organise both founders’ email inboxes
  • Draft emails from voice notes and verbal instructions
  • Turn rough thoughts into clear, professional emails
  • Respond to emails on our behalf where appropriate
  • Flag anything that requires personal attention
  • Keep track of emails that need responses or follow-ups
  • Make sure important conversations don’t disappear into the inbox
  • Book dedicated time into our calendars for responses that need to come directly from us

CALLS & MESSAGES

When we are busy, you’ll help protect our attention.

This can include:

  • Responding to calls and messages on our behalf where appropriate
  • Letting people know when we are unavailable
  • Taking messages and identifying what is actually urgent
  • Organising callbacks
  • Booking dedicated time into the calendar for us to respond
  • Following up where someone is waiting for an answer
  • Making sure unanswered calls and messages don’t get forgotten

You need to be confident communicating professionally on behalf of both founders.

CALENDAR & TIME MANAGEMENT

This is one of the most important parts of the role.

You’ll be responsible for:

  • Managing both founders’ calendars
  • Booking, moving and organising meetings
  • Preventing clashes and unrealistic schedules
  • Protecting focus time
  • Allowing realistic travel and preparation time
  • Blocking out time for calls, emails and follow-ups
  • Making sure important tasks have actual time allocated to them
  • Reminding us where we need to be and when
  • Challenging unnecessary meetings where appropriate
  • Holding both founders accountable to what is in the calendar

We specifically want someone confident enough to enforce this.

If the calendar says something needs to happen, your job is to help make sure it happens.

STAFF DEADLINES & FOLLOW-UPS

  • Keep track of important team deadlines
  • Chase outstanding work when needed
  • Remind the founders when something requires their input
  • Follow up with members of staff
  • Keep visibility over overdue tasks
  • Make sure important deadlines don’t slip unnoticed

You won’t be responsible for directly managing every member of staff, but you will help ensure commitments are being followed through.

OFFICE MANAGEMENT

  • Order office supplies and equipment
  • Manage parking and vehicle registrations
  • Deal with office-related admin
  • Keep files and documents organised
  • Help manage deliveries and purchases
  • Make sure the office has what it needs
  • Handle general day-to-day office problems

TRAVEL & BOOKINGS

  • Book trains, flights and accommodation
  • Organise itineraries
  • Book restaurants and events
  • Coordinate travel around meetings and shoot days
  • Make sure bookings, tickets and confirmations are organised properly
  • Build travel time into calendars correctly

PERSONAL ADMIN

There is also a genuine personal-assistant element to the role.

This could include:

  • Paying parking tickets
  • Booking personal appointments
  • Buying train tickets
  • Ordering products
  • Booking events
  • Making reservations
  • Researching purchases
  • Organising personal travel
  • Completing forms
  • Handling miscellaneous personal admin for both founders

There will be plenty of tasks that aren’t specifically written in this advert.

That is part of the role.

BEHIND-THE-SCENES CONTENT

You’ll also help capture what is happening inside the business.

This will mainly involve:

  • Taking behind-the-scenes photos and videos
  • Capturing office moments
  • Filming parts of shoot days
  • Taking quick phone content when something interesting is happening
  • Sending useful footage to the marketing/content team

You do not need to be a professional videographer.

You just need to have a good eye, be confident using a phone camera and naturally think to capture things.

WHO WE WANT

We’re very clear on the type of person who will succeed in this role:

Highly organised - this is essential. You naturally keep everything in order and notice when something is slipping.

Confident - you are comfortable telling busy people what they need to do and when they need to do it.

Strong with time management - you understand priorities, protect time and don’t allow calendars to become unrealistic.

Proactive - you don’t wait for someone to tell you every little thing.

Persistent - if something needs doing, you follow it through.

Reliable - if you say something is handled, it is handled.

Strong written communicator - you can take a messy voice note and turn it into a polished email.

Professional on calls and messages - you’re comfortable communicating on someone else’s behalf.

Detail-focused - bookings, dates, names and small details matter.

Resourceful - if you don’t know how to do something, you work it out.

Discreet - you’ll have access to confidential business and personal information.

Calm under pressure - priorities can change quickly.

You need to be the sort of person who gets satisfaction from making somebody else’s life significantly more organised.

THE ENVIRONMENT

  • Fast-paced
  • High standards
  • Small, close-knit team
  • Lots happening at once
  • Direct access to both founders
  • Variety every day
  • Real responsibility

There is very little bureaucracy here.

If something needs doing, we generally just get it done.

That also means there isn’t always going to be a perfect process or instruction manual for every task.

We need somebody comfortable figuring things out.

THE OPPORTUNITY

This role will put you extremely close to the day-to-day running of a growing business.

You’ll see how decisions are made, how clients are managed, how sales are closed, how teams operate and how the company grows.

You will also have real influence over how efficiently the founders work.

If you are excellent at the role, you should become the person who makes both founders significantly more effective.

As the company scales, there is significant scope for the role to grow with it.

WHY JOIN SBK

  • Work directly with both founders
  • Join a business that is actively growing
  • Gain exposure across marketing, media, sales, operations and business development
  • Take genuine responsibility from the start
  • Work in a young, ambitious team
  • Build a skillset far beyond basic administration

HOW TO APPLY

Please read this properly before applying.

We are not interested in generic CVs, cover letters or AI-generated application answers.

We want to see why you should get the role.

Every single person currently working in our team went above and beyond during their application process to show us why they deserved an opportunity.

We expect the same from you.

Do something that makes you stand out.

That could be a video, voice note, presentation, creative introduction or something completely different.

There is no set format.

Part of the application is seeing what you choose to do without us giving you step-by-step instructions.

Show us:

  • Who you are
  • Why you would be brilliant at this specific role
  • Evidence that you are organised, proactive and resourceful
  • Why we should speak to you over everyone else applying

If you fill out a generic application and send the same thing you send to every other employer, you will not receive a response.

APPLICATION QUESTIONS

  • Have you previously worked as a Personal Assistant, Executive Assistant or in a similar role? If yes, briefly explain.
  • Is your commute to our Chiswick office less than one hour? Yes/No.
  • What have you done with this application to make yourself stand out?

Don’t overthink the questions.

Put the effort into showing us why you should have the role.

FINAL NOTE

If you’re highly organised, confident, proactive and naturally enjoy taking things off other people’s plates, you could be extremely good at this role.

If you’re uncomfortable chasing people, enforcing calendars or pushing back when someone is wasting their own time, this probably isn’t the role for you.
