As we continue to grow, we're looking for a commercially minded Finance Manager to help build a best-in-class financial function that provides clarity, accountability, and confidence in our decision-making.

This role will work closely with the Founder and leadership team, taking ownership of the day-to-day finance function while providing the insights needed to drive profitable growth.

The Role

As Finance Manager, you will be responsible for the financial health of Prospa.

You'll own everything from payroll and cash flow management through to forecasting, budgeting, profitability reporting, and financial planning.

You will provide the leadership team with clear financial visibility, helping us understand where we are today, where we're heading, and what decisions we need to make to achieve our goals.

Key Responsibilities

Financial Reporting & Business Performance

  • Produce accurate monthly management accounts and performance reports
  • Deliver clear commentary and insights on business performance
  • Monitor revenue, gross profit, operating costs, and net profit
  • Track agency KPIs and provide recommendations for improvement
  • Create and maintain dashboards that support leadership decision-making
  • Provide monthly reporting packs for the leadership team

Forecasting, Budgeting & Planning

  • Own the agency forecasting process
  • Maintain rolling revenue, profit, and cash flow forecasts
  • Support annual budget creation and quarterly reforecasting
  • Model hiring plans, growth scenarios, and investment decisions
  • Provide visibility on future financial performance, risks, and opportunities
  • Support leadership with financial planning and target setting

Client & Agency Profitability

  • Build and maintain client profitability reporting
  • Monitor team utilisation and capacity against revenue
  • Identify over-servicing, margin leakage, and inefficiencies
  • Support pricing and commercial decision-making
  • Help leadership understand the true profitability of clients, services, and teams
  • Recommend actions to improve gross margin and operational efficiency

Cash Flow & Revenue Operations

  • Own cash flow forecasting and reporting
  • Monitor debtor days and aged receivables
  • Chase outstanding invoices and improve collection processes
  • Work with account managers and leadership to improve payment performance
  • Ensure strong visibility of short and long-term cash position
  • Identify potential cash flow risks before they become issues

Financial Operations

  • Manage Xero and ensure accurate financial records
  • Oversee accounts payable and supplier payments
  • Maintain financial controls and reporting accuracy
  • Liaise with external accountants on year-end accounts, tax, and compliance
  • Support month-end and year-end processes
  • Continuously improve financial systems, processes, and reporting

Payroll & People Costs

  • Manage monthly payroll and pension administration
  • Maintain accurate records of salaries, bonuses, and commission structures
  • Support leadership with headcount planning and hiring decisions
  • Monitor people costs against budget
  • Ensure compliance with all payroll-related obligations
  • Provide reporting on team costs, utilisation, and profitability

Key Outcomes

Success in this role will be measured by:

  • Monthly management accounts delivered by the 5th working day
  • Accurate rolling cash flow forecasts with clear visibility of future cash position
  • Debtor days maintained within agreed targets
  • Timely and accurate payroll processing
  • Client profitability reporting available and updated monthly
  • Improved visibility of agency performance, margins, and utilisation
  • Leadership team able to make faster, more informed commercial decisions
  • Financial systems and processes operating efficiently and accurately

About You

Essential

  • Experience in a Finance Manager, Management Accountant, Commercial Finance, or similar role
  • Strong experience producing management accounts, forecasts, budgets, and financial reporting
  • Ability to translate financial data into clear, actionable insights for non-finance stakeholders
  • Experience managing cash flow forecasting, payroll, invoicing, and financial operations
  • Strong commercial awareness with the ability to support business growth and profitability
  • Excellent analytical and problem-solving skills
  • High level of accuracy and attention to detail
  • Strong communication skills and confidence working directly with senior leadership
  • Advanced Excel / Google Sheets skills
  • Experience using Xero or similar cloud accounting software

Desirable

  • Experience within an agency, professional services, consultancy, recruitment, or other service-based business
  • Experience analysing client profitability, utilisation, or resource planning
  • Experience supporting leadership teams with budgeting, forecasting, and strategic planning
  • Experience improving financial systems, reporting, and operational processes
  • ACCA, CIMA, ACA, AAT, or equivalent finance qualification (not essential)
