Job Description

Responsibilities

  • Site Maintenance: Manage the daily "upkeep" of the Sales Enablement Hub, ensuring all links, folders, and assets are functioning and correctly categorized.
  • Content Lifecycle Management: Conduct regular audits of the hub to identify outdated materials; coordinate with content owners to ensure assets are refreshed or archived.
  • Asset Support: Assist in the uploading and tagging of new marketing collateral (whitepapers, case studies, one-pagers) to ensure high searchability for the sales team.
  • Deck Customization: Perform "light" edits to pitch decks, including data updates, localized text swaps, and branding touch-ups to support immediate sales needs.
  • External Support: Provide operational assistance to the External Events Lead for major industry conferences (e.g., managing rooming lists, delegate registration, and pass allocations).
  • Internal Support: Assist the Internal Brand Lead with logistics for partner events, ensuring attendee data is accurate and communication flows are maintained.
  • Vendor Liaison: Act as the administrative point of contact for event agencies, ensuring all necessary documentation and briefs are shared on time.
  • Onboarding: Facilitate the vendor setup process by managing invitations and registrations within our procurement platform.
  • Financial Tracking: Verify vendor status against historical budgets to ensure accurate financial reporting and prevent processing delays.
  • Documentation: Maintain our Global Events calendar and tasks, ensuring real-time accuracy of budget approvals, payment statuses, and project timelines.

Requirements

  • 2+ years in a corporate or agency environment (Marketing, Ops, or Admin experience preferred).
  • Proven ability to manage deadlines, navigate internal stakeholder hierarchies, and communicate professionally with external vendors.
  • You are confident to use and leverage AI to level-up your work and faster processes.
  • Experience managing multiple workstreams (e.g., balancing admin tasks with event deadlines).
  • CMS/Platform Familiarity: Comfortable managing the back-end of a content site or internal hub (experience with G-Suite or similar systems).
  • Spreadsheet Mastery: Advanced skills in Excel/Google Sheets (vlookups, data cleaning, and formatting) are essential.
  • Clear, professional writing skills for managing vendor relationships and internal stakeholder updates.
  • Ability to pivot between the "quiet" work of content auditing and the "fast-paced" nature of event support.
