Build and coordinate a high-volume venue hire program at a major museum, balancing admin, operations, and marketing to deliver seamless events and engaging digital presence.

  • Ownership: manage enquiries, quotations, bookings, and communications to ensure a professional client experience.
  • Operations: assist daytime event coordination and prep for evening events, including on-site logistics and practical setup tasks.
  • Marketing & content: support campaigns, imagery, and digital channel accuracy to promote venue hire.

Job Description

Responsibilities

  • You will support the delivery and promotion of more than 160 events at the Natural History Museum each year, working closely with the Events Manager to provide administrative, operational and marketing support for the Museum’s venue hire business.
  • You will respond to enquiries, prepare quotations, maintain booking systems and coordinate communications with clients and suppliers to ensure a professional and seamless customer experience.
  • You will also play a key role in supporting marketing activity for venue hire, helping to develop campaigns, maintain event imagery and ensure information across digital channels is accurate and engaging.
  • Alongside this, you will assist with the operational coordination of daytime events and support the preparation of evening events as part of the wider Events Team.
  • You will be willing to undertake practical tasks as part of event delivery, including moving furniture, signage and basic AV equipment.

Requirements

  • Previous experience supporting or coordinating events.
  • Excellent administrative and organisational skills with the ability to manage competing priorities effectively.
  • Confident communicating with a wide range of clients and stakeholders, both in person and over the telephone.
  • Proactive, detail-focused and able to work both independently and collaboratively within a busy team environment.
  • Strong written communication skills, including experience producing engaging marketing content.
  • Willingness to undertake practical tasks as part of event delivery, including moving furniture, signage and basic AV equipment.
  • Regular manual handling and working at heights.
  • DBS clearance required due to access to Museum collections.

Preferred

  • Experience working in a museum, gallery or similar cultural environment.
  • Familiarity with Adobe InDesign or Photoshop.
