Job Summary

Frequent, direct outreach by phone, email, and video call to plan and execute events and programs.
Coordinate logistics for in-person events including, but not limited to, contract management, catering, A/V, signage, shipping, and on-site execution.
Support strategic event planning in collaboration with the executive team and other stakeholders to align events with agency goals.
Manage event budgets, vendor relations, and timelines to ensure projects are delivered on time and within budget.
Partner with Creative, Communications, and other teams to deliver high-quality event collateral, signage, presentations, and digital assets.
Oversee registration and attendee communication to ensure seamless participant experiences.
Provide administrative support including invoice processing, mailings, calendar scheduling, travel coordination, and reporting.
Ensure agency and brand standards are upheld across all event touchpoints and promotional materials.
Track, manage and fulfill all promotional materials requests.
Order promotional items, work with all stakeholders for successful production of items, and track inventory.

Requirements

Six years of experience in public or governmental relations, and/or in writing or producing content for various media.
Five years of experience in public or governmental relations, and/or in writing or producing content for various media.
Four years of experience in public or governmental relations, and/or in writing or producing content for various media.
An associate's degree in media, new media, English, communications, journalism, broadcasting, public relations, films, TV productions, or digital marketing can substitute for two years of specialized experience; a bachelor’s in these fields can substitute for four years; and a master’s degree in these fields can substitute for an additional year of specialized experience.

Preferred

Strong grasp of ROI tracking and managing marketing/events budgets.
Proven experience with high-quality event production.
Possess outstanding attention to detail, and proficient in written and spoken English.
Highly organized work approach and the ability to track, manage, prioritize, and execute many parallel projects while navigating shifting priorities.
