Job Summary

Own the day to day of a boutique agency operation at scale, turning delivery, onboarding, and retention into profit and process. You'll own KPI governance, staffing, and cross functional execution while driving AI and automation into the operating system.

Agency operations: oversee delivery, onboarding, retention, fulfillment, and margin performance.
People and process: staffing structure, project management, KPI accountability, and communication standards.
Cross-functional execution: partner with Client Success, Media Buyers, AMs, Copywriters, onboarding, Sales, and Exec leadership; drive AI/automation integration.

You will lead the entire PhysioFunnels Agency division from an operational, delivery, staffing, and performance standpoint.
Your mission is to make the agency:
More profitable
More efficient
More accountable

Less founder-dependent
You will oversee:
Client delivery
Client onboarding
Client retention
Fulfillment operations
Project management
Staffing structure
KPI accountability
Margin performance
Communication standards
Day-to-day execution
You'll work closely with:
Client Success Teams
Media Buyers
Account Managers
Copywriters
Onboarding Specialists
Sales Leadership
Executive Leadership
You will also play a major role in integrating AI, automation, and operational systems into the future of the agency.

Requirements

Experience managing a $3M–$5M+ marketing agency, coaching business, or service-based company
Strong operational leadership experience
Experience managing remote teams
Strong understanding of contribution margin and operational KPIs
Experience improving client retention and delivery systems
Proven ability to lead through growth and operational change
Comfortable working in fast-moving entrepreneurial environments

Preferred

Healthcare marketing experience
Direct response marketing experience
SaaS or AI-integrated business experience
Experience with CRM systems, automation, and project management software
Experience integrating offshore or international teams
